Passport Expiring Before EP Renewal? Sequence the Update and Filing
Answer first. Renew the passport early, update the new number and expiry date in EP eService, then make sure the renewal and issuance records use the current travel document.

Build a four-date calendar
Record the passport expiry, EP expiry, earliest renewal date and intended travel. Add the employer’s filing window and internal approval time. MOM permits most EP renewals up to six months before pass expiry and requires filing before expiry. The passport process belongs to the holder’s issuing authority and may take its own time. Do not wait for the EP renewal reminder if the passport will become the critical path.
Renew the passport first where practical
Check the passport authority’s requirements and whether the holder must attend in person. Preserve the old passport biodata page and the new passport page, because travel history and existing records may refer to both. Do not cancel travel or cut a passport based only on an assumed processing date. If urgent travel and renewal collide, obtain authority-specific advice rather than entering inconsistent numbers.
Update MOM’s record
MOM’s EP update page says the passport number and expiry date can be updated instantly through EP eService. The employer or appointed agent should perform the update and retain confirmation. Compare name spelling, date of birth, nationality, document number and expiry date against the new passport. If other personal particulars changed, use the correct separate route. A screenshot of a draft form is not proof of a submitted update.
Prepare the EP renewal on current facts
Reassess the job, salary, employer information and current eligibility rather than treating renewal as automatic. Ensure the application pulls the new passport details. MOM states that EP renewals expiring from 1 September 2024 must meet COMPASS where applicable. Do not promise approval because the present pass remains valid. Record any exemption and supporting evidence.
Worked example
An EP expires on 30 April and the holder’s passport expires in June. The employer opens the renewal calendar in November, asks the holder to renew the passport, updates EP eService after the new document arrives and files the EP renewal on current employment facts. The approval is then issued against the new document. The team avoids a last-week conflict between passport collection, planned travel and pass issuance.
Align IPA, issuance and travel
MOM says a successful renewal produces an IPA valid for three months, and the renewed pass must be issued before the IPA or current EP expires, whichever comes first. Read the actual IPA instructions and verify the passport used at issuance. Plan travel around the holder’s valid documents and digital pass. Do not assume an approved renewal alone updates every airline, bank or corporate record.
Close the record
Store only necessary passport copies in the approved HR system with controlled access. Record who verified the original, the MOM update confirmation, renewal submission, outcome and issuance date. Update payroll and travel systems that legitimately require the document. This checklist separates document maintenance from eligibility: a new passport does not extend the EP, and an EP renewal does not renew the passport.
