Work Permit IPA Details Wrong? Correct Them Before Travel
Quick answer. If Work Permit IPA particulars do not match the passport, correct the error before travel and recheck every downstream arrival document rather than asking the worker to explain it at the checkpoint.

Stop travel planning at the mismatch
The IPA is not a document on which the worker should improvise an explanation at immigration. MOM states that the particulars must match the passport and that an error can lead to denied entry. Pause flight booking or arrival confirmation, save the issued IPA and compare it with the passport biodata page used for the application. Identify whether the problem is data entry, a later passport change, transliteration or a mismatch in the source document itself.
Use a field-by-field comparison
Create rows for full name, date of birth, sex, nationality, passport number and expiry date. Add the application value, current passport value, evidence and required route. Mark spaces, order and punctuation without assuming every formatting difference is substantive. The person who applied should sign off the comparison. Do not ask the worker to alter a scan or use an old passport simply because it matches the approval.
Choose the correct correction route
MOM’s Work Permit materials direct employers to correct application errors and use WP Online or the relevant particulars request. The post-issuance update page lists name, date of birth, marital status, passport number and expiry date in WP Online, with supporting documents for other details. The exact pre-entry route can depend on the approval state and field. Use the current linked procedure, upload the genuine passport page and retain the acknowledgement.
Worked scenario
The IPA shows ‘Nur Aisyah Binte Rahman’ while the passport shows ‘Nur Aisyah Rahman’. The employer pauses travel, checks the original worker consent and application, and confirms that the extra word came from manual entry rather than a passport change. It submits the correction with the passport page, waits for MOM’s outcome, regenerates the IPA and compares the new document again. The worker travels only after the corrected document and arrival records align.
Recheck every dependent item
After correction, regenerate the IPA and review any security bond, insurance, Onboard booking, pre-entry housing record, medical booking and flight name. A changed passport number or name can create a second mismatch even when the MOM record is fixed. Keep the old and new documents with a correction note. Do not silently overwrite the original file because it explains why later versions differ.
Separate an error from a changed fact
A typo in the application is not the same as a person receiving a new passport or lawfully changing a name after approval. Record the event date and supporting document. If the new fact affects eligibility, nationality, occupation or another substantive basis, pause and ask MOM rather than assuming a particulars update is enough. The correction route fixes accurate records; it is not permission to substitute a different worker or alter a material application fact.
Release checklist
Release travel only when the corrected IPA matches the current passport, the employer or EA has saved the MOM acknowledgement, downstream arrival documents have been reconciled and the worker has the correct copy. Record who performed the final comparison and when. This simple two-person check prevents the high-cost failure of discovering an avoidable mismatch at the checkpoint.
How to use this guide
Start with the reader, decision and evidence identified above. Write the next action and owner beside every unresolved point, then set a review date. Keep authority-issued records unchanged and preserve earlier versions when a correction is made. If a fact, document or deadline does not fit the matrix, pause instead of forcing it into the nearest category. Official guidance can change, and a checklist cannot decide disputed facts or replace advice on a specific case. The strongest file shows what was known, when it was known, which source controlled the step and why the chosen action followed.
Decision and evidence matrix
| Checkpoint | Evidence to verify | Stop condition |
|---|---|---|
| Detect | IPA against current passport field by field | Pause travel and bookings |
| Correct | Approved MOM route with authentic evidence | Do not edit source documents |
| Release | Regenerated IPA and downstream records | Require a second-person check |
